RoleThe role will be part of the Sales & Marketing team and leader of finance  

 

Responsibility and authority

Under the supervision of the Managing Director of Fishbones UAE and department leaders of Finance, Administration and Human Resources, ensure the smooth functioning of the AbuDhabi Office and support the activities of the named departments.

Key Responsibilities

1. Administrative Oversight:

               • Supervise and coordinate administrative staff and their daily activities.

               • Ensure efficient and smooth office operations.

2. Office Organization:

               • Organize and maintain office systems, including filing, record keeping, and document management.

               • Implement and maintain office policies and procedures.

3. Communication Management:

               • Serve as the point of contact between management and employees (maybe not as relevant for this position, at least for now).

               • Facilitate internal communication within the office.

4. Supplies and Inventory Management:

               • Manage office supplies, equipment, and inventory levels.

               • Liaise with vendors and suppliers for procurement needs.

5. Meeting and Event Coordination:

               • Coordinate and schedule meetings, appointments, and events.

               • Arrange logistics for conferences, workshops, or team-building activities.

6. Travel Coordination:

               • Organize travel arrangements for employees, including booking flights, hotels, and transportation.

7. Facilities Management:

               • Oversee maintenance and repair of office facilities.

               • Ensure a safe and secure working environment.

8. Budget Tracking:

               • Assist in the preparation and monitoring of office budget.

               • Track expenses and report variances.

9. Human Resources Support:

               • Assist in the recruitment process by coordinating interviews and onboarding processes.

               • Maintain employee records and ensure compliance with HR policies.

10. Customer Service:

               • Address inquiries and provide support to clients, visitors, and employees.

               • Handle customer complaints or concerns.

11. Data Entry and Reporting:

               • Manage data entry tasks and maintain accurate records.

               • Generate regular reports on office activities and performance metrics.

12. IT Support Coordination:

               • Liaise with IT support for office equipment maintenance and troubleshooting.

               • Ensure the availability and functionality of office technology.

13. Health and Safety Compliance:

               • Implement health and safety measures in the workplace.

               • Ensure compliance with regulations and guidelines.

14. Employee Morale and Engagement:

               • Coordinate employee engagement activities and recognition programs.

               • Foster a positive and inclusive office culture.

 

 

It is very important to keep open and continuous communication in the Company. This role will be responsible for maintaining good communication with the Manager, the regional team (including Agents/partners), and the headquarters organization on a continuous basis. We require you to show initiative and the ability to convert challenges into solutions. Internal training will be offered. External training will be at your own initiative, and in cooperation.

This role will be important in driving Fishbones AS position into a commercial company and become an innovative technology leader in well completions and stimulation technology and will have a key role in the further development of the Company.

Duties

Have the duty to participate in the implementation of HSE measures and participate in the organized and preventive HSE work.

Qualifications

  • 5+ years of experience as office manager 

  • Driving license class B

  • Good knowledge of English, both written and spoken
